Group Supplies was commission to undertake the University’s first reverse auction and to assist in the management of its procurement tender for the supply and desktop delivery of office stationery. The contract value was £175,000 over 36 months.

Personal Protective Equipment
In most instances the tenders have been produced from raw data held by the operational staff of client companies. The second stage tenders cover for all supply needs whilst concentrating on a specified range of products.
The tenders have been constructed to achieve the best supply available.
Existing and new supply companies within the Group Supplies database have been approached and tenders produced that have simplified the specification needs to the benefit of the clients.

UK and International Transport
A detailed audit of the UK and International courier invoices was undertaken to ascertain the current costs and methods of order and supply.
This audit highlighted immediate savings when the actual costs were compared to the data in the Group Supplies “Supply-Time” database. The supply need was split into two tenders one covering UK and the other covering destinations from Hong Kong to the USA.

Thyssen Krupp Case Study
ThyssenKrupp is a major industrial group with main areas of activity in which they hold premier positions: Steel, Capital Goods and Services. The combined turnover of the ThyssenKrupp Group is over £210 billion and the company is a global Fortune 100 company.
Group Supplies worked in partnership with ThyssenKrupp Automotive and focused initially on part of the consumables area of their spend, which totalled £426,000.

CCTV Contract
The requirement was for the maintenance of the existing monitoring equipment and 60 CCTV cameras in both Cheltenham and Tewkesbury, together with the supply of any additional cameras required over a three year period.
The aim was to reduce the costs to provide savings that could then be used to fund projects that would have otherwise been delayed or cancelled.

Short Term Trailer Hire
A detailed audit of the short-term trailer hire invoices was undertaken to ascertain the current costs and methods of order and supply.
This consultancy audit generated immediate savings, as it highlighted that damaged trailers were not being returned on a timely basis incurring ongoing non-productive costs. By recommending trailers of a larger capacity than those in current use Group Supplies generated further ongoing transport cost reductions.

World Wide Freight
Group Supplies undertook detailed audits of historic supply costs and specific analysis of UK and worldwide deliveries to many countries all continents. The client, an International company and a specialist in their field was utilising the services of a number of leading couriers for the delivery of large and small consignments to all continents. For the charging of worldwide deliveries the global destinations are split into various regions with specific countries being allocated to each region.

Telephone Cost Reduction
A detailed audit of the fixed telephone systems, mobile, fixed rentals and all calls was undertaken to ascertain the current costs and methods of order and supply.
The audit highlighted immediate savings when it was noted that telephone lines were being charged that were not in existence as they applied to depots that had previously been closed. A call centre was utilising external lines not the direct lines that existed from depot to depot. Group Supplies rectified the problems and the ongoing costs were compared to data in the Group Supplies “Supply-Time” database.

Plant Hire
Group Supplies undertook detailed audits of historic supply costs and specific analysis of plant hire for an International company operating in a sector that utilises owned and hired plant.
During the tender construction the detailed invoice comparisons produced by Group Supplies highlighted that one of the suppliers to the client had invoiced prices with consecutive numbered invoices and identical values. The values were consistently a multiple higher than the market value of the product and the final invoice purported to transfer the ownership of the particular machine to the company.

As a part of their assessment of the Group Supplies tender processes and to understand the real savings opportunity an International client within the manufacturing sector requested Group Supplies to undertake a cost reduction tender immediately after they had produced a tender for the same supplies and by using the same source data.

Fuel and Gas Oil
In most instances the tenders have been produced from information supplied by existing contractors and compared to the invoices supplied by the clients.
Prices for all supplies were set against an internationally accepted formula to reflect the true movement in price on a daily basis and compared to the previous years spend. As duty and fierce competition exist within this sector the savings do not reflect the same percentages that Group Supplies expect in other tenders.

Following an earlier successful joint auction by Group Supplies for DBC and another food services provider, DBC appoached us to reduce the cost of their cheese requirement, while ensuring the current high quaility and guaranteed delivery were maintained.

Hydraulic and Engine Oils
An audit of the oil purchases was analysed by Group Supplies in house specialist and the current costs and methods of order and supply were investigated to produce outstanding results.
The audit highlighted immediate savings when it was noted that in areas bulk supplies were being delivered in barrels and the product usage was not common over the 40+ sites within the UK. Group Supplies specified the product needs and created the tender documents producing a revised package to achieve the most beneficial supply available.
